The title company or settlement office handles a number of administrative and legal steps to bring the transaction to closing. This may include coordinating documents, collecting and disbursing funds, confirming payoffs, and preparing the final settlement figures.

Document preparation and recording related costs
Certain documents may need to be prepared, updated, or recorded in connection with the transfer of ownership. Depending on the transaction, there may also be fees tied to mortgage payoff processing, certifications, or municipal documentation.

Deed preparation
In many Pennsylvania transactions, the deed must be prepared for transfer to the buyer. This is often included as part of the settlement process, but it can also appear as a separate charge depending on the settlement company.

Because title and settlement fees can vary by transaction and provider, it is helpful to review an estimated settlement statement early in the process. While these charges are not typically the largest line items, understanding them upfront helps create a more accurate picture of total selling costs.

Proper practice is that a seller will sign an estimated seller net sheet during the listing contract signing when the list price is set. A buyer will sign an estimated cost sheet before putting an offer in on any piece of property. These fees are meant to be communicated up front to avoid surprises or delays and to properly manage expectations.
